How a Czech Team Took Control of Their Product Data

TZMO Czech Republic s.r.o. is part of the international TZMO Group, headquartered in Poland. For more than 20 years, it has been selling hygiene, cosmetic, and medical products on the Czech market. The last of these is a regulated field, where changes to the product range must comply with legislation and every modification must be traceable after the fact.

Starting situation

Master product data for the entire group is managed centrally, in the group’s shared system. The Czech team, responsible for sales on the local market, had no direct access to this data.

Information needed to work with products was received indirectly. Parameters, supporting materials, and notifications about planned and completed changes to the product range arrived via PDF files, email, and various partial presentations or overviews. Putting together a complete and up-to-date picture of a single product meant assembling it from several sources and verifying which information was still valid.

For the regulated medical devices segment, this represented not only an operational burden but also a risk. Product changes must proceed in a controlled way and be traceable, which is very difficult to ensure through scattered email communication.

Project goal

The goal was to give the Czech team a single source of truth for products: a catalog where they would see, in a structured way, which data would be automatically synced from headquarters, and where the team could manage data specific to the Czech market themselves. Part of the brief was also to ensure that changes to products could be logged and managed in line with the requirements of a regulated market.

How we solved it

The WisePorter product catalog now automatically pulls the agreed product data from the group’s central system. The Czech team has it clearly organized in one place, without waiting for someone to forward it. On top of this data, the team adds information for the Czech market: marketing content, descriptions, photos, and other related documents and attachments.

Changes to products are logged directly in the catalog, so they take place in a controlled manner and can be traced back afterward. Roles and permissions reflect how the team actually works, from product management through quality and finance to view-only access.

The same catalog also makes it possible to share product data with external partners. They have restricted permissions in the catalog, but work with the same data as the internal team, so nothing needs to be copied or forwarded anywhere. Everyone is looking at one and the same source.

What changed

The Czech team replaced searching for information across emails and PDF files with a single, clear location. They see the group’s central data in a structured way, add data for the Czech market on top of it, and log product changes in a traceable manner, as required in a regulated industry.

This created a single source of truth for products, which can be connected to downstream systems in future phases.
